UpNextCanada Media ("we", "us", "our") is an AI services agency based in Toronto, Ontario, Canada. We build AI receptionists, chatbots, email automation, and custom business applications for local service businesses across the Greater Toronto Area.
This policy describes what we collect when you visit our website, apply for our founding program, or use systems we build for your business.

- Standard web analytics (page views, referrer, device type) via our hosting provider, Cloudflare Pages
- Any information you voluntarily submit through our application form
When you apply for our services

- Package interest and any message you include
When we build AI systems for your business
Our AI systems may process customer conversations, emails, appointment data, or other inputs you explicitly connect. This data belongs to you, not us.
3. How We Use Your Data
- To respond to your application and schedule conversations
- To build, configure, and maintain AI systems we deliver to you
- To improve our services — in aggregate, never tied to you personally
4. Who Has Access
Your data is accessed only by the UpNextCanada team members working on your project. We use the following sub-processors in delivering services:
- Cloudflare Pages — website hosting (Canada/US regions)
- Google AI (Gemini) — AI model inference for chatbots and automation
- ElevenLabs — voice synthesis for voice receptionist products
- Google Workspace — email communication
All sub-processors are contractually required to protect your data consistent with this policy.
5. Your Rights Under PIPEDA
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Withdraw consent for us to continue processing your data
- Request deletion of data we no longer need
- Complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca)

6. Data Retention
We keep application form submissions for up to 24 months so we can follow up on opportunities. Client project data is retained for the duration of our engagement plus 12 months, after which it is deleted on request or archived for legal/tax purposes only.
7. Security
We use reasonable technical and organizational measures to protect your data: encrypted connections (HTTPS), access controls on our tooling, and sub-processors that meet industry security standards. No online system is 100% secure; we commit to notifying affected users within 72 hours of any confirmed breach involving personal data.
8. Cookies
This website uses minimal cookies: session cookies from our hosting provider and anonymous analytics. We do not use advertising or tracking cookies from third parties.
9. Changes to This Policy
We may update this policy occasionally. Material changes will be announced at the top of this page and the "Last updated" date will be revised. Continued use of our services after an update means you accept the revised policy.
